Who we are
This website and our events are run by Transport Times Events Ltd, registered in Scotland, company number SC714075. Our registered office is 25 William Crescent, Haddington, East Lothian, EH41 3EB.
For anything about your personal information, email grant.poulton@transporttimes.co.uk or write to us at the address above.
What we collect and why
Your account
When you create an account, book tickets or enter our awards, we collect your name, email address, job title and organisation, and a password. We use this to run your account and to let you manage your tickets and entries.
Legal basis: contract.
Bookings and payment
When you book, we collect your organisation type, booking details, invoice name, organisation, email and address, and any purchase order number. Card payments are handled by Stripe. We do not see or store your card details.
Legal basis: contract, and legal obligation for our accounting and tax records.
Attendee details
For each seat booked, we collect the attendee’s title, name, job title and organisation. You can also tell us about dietary or accessibility requirements. We use these to run the event: badges, seating, catering and access. We share dietary and accessibility requirements with the venue and caterer for that purpose only.
If you book on behalf of other people, please make sure they know you are giving us their details and have seen this policy.
Legal basis: contract. For dietary and accessibility requirements, which can reveal health information, your explicit consent, which you give by entering them. You can remove them at any time in My Tickets.
Table plans and delegate lists
At our events, attendees’ names, job titles and organisations appear on the table plan for that event. The table plan is shown at the venue and published on the event’s page on this website, so guests can find their seats and see who else is attending.
Legal basis: legitimate interests, to run the event. Contact us before the event if you do not want your name shown.
Awards entries
When you enter our awards, we collect the entry itself, any files you upload, and the contact details of the entrant. Entries are shared with our judging panel. If an entry is shortlisted or wins, we publish the project name, organisation and category on our website and at the ceremony, and may refer to it in our articles and newsletters.
Legal basis: contract.
Newsletter and marketing emails
If you sign up to our newsletter, or tick the box to receive updates when you create an account, we send you news about Transport Times events, awards and industry insight. We record when and how you signed up and the wording you agreed to.
Our emails are sent through Campaign Monitor, which records whether an email is opened and which links are clicked. We use this to see which content is useful.
You can unsubscribe at any time using the link in any email, or by switching off marketing in Personal Details in My Account.
Legal basis: consent.
Contributors, speakers and judges
If you write for us, speak at an event or sit on a judging panel, we publish the name, job title, organisation, biography and photograph you give us.
Legal basis: legitimate interests, with your agreement to appear.
Event photography
We take photographs at our events and publish them on our website, on social media and in our marketing. Contact us if you would like a photograph of you removed.
Legal basis: legitimate interests.

Google Analytics only runs if you choose Accept in the cookie banner. If you choose Reject, no analytics cookies are set. You can change your choice at any time using [Cookie settings] in the footer.
